Earthworks handover: a simple record before the next stage

Handover should show what is complete, what awaits inspection and what remains unresolved. A short shared record helps both the client and the contractor who follows.

Three things to know

  • Hand over specific locations and activities against the order.
  • Separate completed work from subsequent specialist inspection.
  • An outstanding item needs a description and responsible person.
Contents of this guide
  1. Review actual conditions against the order
  2. Separate completed work from specialist verification
  3. Record the actual material situation
  4. Describe outstanding items without vague promises
  5. A simple list for shared agreement
  6. Give the same record to the next contractor

Review actual conditions against the order

Take the confirmed order and review each work location. Record its actual condition, available documents and next step. Distinguish completion of ordered excavation from specialist verification of readiness for another structure. Confirming one activity should not imply every subsequent requirement has been checked.

Separate completed work from specialist verification

Receiving confirmation that excavation is complete does not itself professionally confirm bearing-ground suitability or structural design. If the responsible person must inspect it, arrange that before the next stage proceeds. A routine list does not replace required specialist records.

Checks on dimensions, levels or other properties follow the actual brief. This guide specifies neither tolerances nor measurement methods. It clarifies who hands over the result and what the relevant person still needs to verify.

Record the actual material situation

Distinguish material removed, retained and newly delivered. Record available documents and how quantities were determined. The original design excavation volume is not automatically a load weight or the volume of an irregular pile afterwards.

If material remains on site, record its position and agreed purpose. State who will use, accept or remove it next. This distinguishes planned stock from an item that should have been included in completion.

Describe outstanding items without vague promises

'Finish the surroundings' leaves the area, result and responsibility undefined. State the particular location, missing information and who arranges the next step instead. If timing is unconfirmed, label it outstanding.

Add photographs taken from safely accessible positions and clear labels for individual parts. Do not enter an unsecured excavation for handover. If further access or securing the unfinished site is needed, agree responsibility according to the actual work arrangements.

A simple list for shared agreement

Assign each item a status: completed within agreed scope, awaiting a subsequent inspection, or unresolved. Keep those statuses distinct. Completed earthworks can await another trade's acceptance without automatically establishing professional assessment.

The table below is a working aid for recording information. It determines neither contractual rights, legal duties nor documents required by a particular construction. Use records already agreed for the job where appropriate.

Give the same record to the next contractor

If concreting, tank installation or surface preparation follows, give the receiving firm relevant documents. Include confirmed changes and unresolved questions. The next stage should not rely only on an older design without actual-condition information.

SORTI offers earthworks, transport and subsequent construction within an agreed scope. State in the enquiry who follows and what result they need to accept. Handover is then prepared alongside the job, not only after equipment leaves.

Frequently asked questions

Is this checklist a mandatory handover certificate?

It is a practical communication aid. It replaces neither the contract nor records needed for the particular construction.

Does excavation handover itself confirm suitable foundation ground?

No. Responsible people provide the required specialist assessments and checks according to the actual brief.

What if the next contractor arrives later?

Agree their requirements, handover method and the unfinished site's condition until the next stage in advance.

How should I record an unfinished part?

Give its actual location, condition, missing information and next-step contact. Replace 'finish sometime' with a clear item.

Your next step

Define the required result and next-stage acceptance

Send the scope and next-stage contact with your enquiry. We can then hand over readiness and outstanding items against the same brief.
